Advantage Football Academy Policies

At Advantage Football Academy we are committed to providing a professional, safe and player-centred environment. The following policies govern participation across all Academy programmes. Parents and players are encouraged to read each document carefully as registration confirms acceptance of the relevant policies and procedures.

Please read all policies before registering. 

These policies form part of your registration with Advantage Football Academy. By registering a player and allowing them to participate in Academy activities, you acknowledge that you have read, understood and accepted all applicable policies listed on this page.

Player Programme Agreement The contractual agreement that governs your child's place within Advantage Football Academy, including programme commitments, participation and responsibilities. This text forms the primary agreement between you and the Academy. (APPLICABLE TO ALL PLAYERS AND PARENTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) 1. DEFINITIONS 1.1 “Company” means Advantage Sports Group Limited. 1.2 “Parent” means the parent or legal guardian responsible for the Player and all associated obligations under this Agreement, including payment. 1.3 “Player” means the individual registered onto an Advantage Football Academy programme. 1.4 “Programme” means the full football club programme delivered by the Company, including training sessions, fixtures, competitions, and all associated activities. 1.5 “Season” means the full football calendar as defined and communicated by the Company at the point of Registration. 1.6 “Fee” means the total cost of participation in the Programme for the Season as confirmed in writing at the point of Registration. 1.7 “Instalment Plan” means any agreed payment schedule approved in writing by the Company. 1.8 “Registration” means the confirmed enrolment of a Player into the Programme following satisfaction of all required conditions. 1.9 “Terms” means this Player Programme Agreement 2. ACCEPTANCE OF AGREEMENT 2.1 A legally binding agreement is formed when the Parent completes Registration, sets up or makes payment, or allows the Player to attend any training session, fixture, or club activity, whichever occurs first. 2.2 These Terms apply to all Advantage Football Academy programmes and shall override any conflicting terms unless expressly agreed in writing by an authorised representative of the Company. 2.3 A place within the Programme is not confirmed until payment arrangements have been successfully established and any required initial payment has been received. 3. PROGRAMME STRUCTURE & COMMITMENT 3.1 Advantage Football Academy operates as a structured, season-long football club programme and is not a session-based or flexible attendance offering. 3.2 Registration commits the Player and Parent to the full Season as defined by the Company. 3.3 By accepting a place, the Parent commits to the full Season and agrees to pay the full Fee in accordance with this Agreement and the Payment Terms & Conditions. 3.4 The Fee remains payable in full in all circumstances, including but not limited to non-attendance, injury, illness, selection or non-selection, suspension, removal, withdrawal, or changes in personal circumstances. 3.5 Non-attendance, reduced attendance, or non-selection does not entitle the Parent to any reduction, credit, or refund. 4. FEES AND PAYMENT 4.1 The Parent agrees to pay the full Fee as confirmed in writing at the point of Registration. 4.2 Payment may be made in full prior to the start of the Programme or via an Instalment Plan where approved by the Company. 4.3 Where an Instalment Plan is agreed, it is a payment mechanism only and the full Fee remains contractually due from the point of Registration. 4.4 All payment collection, enforcement, charges, and recovery processes are governed by the Advantage Football Academy Payment Terms & Conditions, which form part of this Agreement. 4.5 Failure to comply with the Payment Terms & Conditions shall constitute a breach of this Agreement. 5. NON-CANCELLATION & WITHDRAWAL 5.1 Once Registration is confirmed, it cannot be cancelled by the Parent. 5.2 The Parent may not withdraw the Player from the Programme to avoid payment obligations. 5.3 In the event of withdrawal for any reason, the full outstanding Fee shall remain immediately due and payable. 5.4 Any variation, release, or adjustment shall only be valid where agreed at the sole discretion of the Company and confirmed in writing by an authorised representative. 6. BREACH OF PAYMENT OBLIGATIONS 6.1 Any failure to make payment in accordance with the Payment Terms & Conditions shall constitute a breach of this Agreement. 6.2 In the event of such breach, the Company reserves the right to suspend the Player from all Programme activities, remove the Player from the Programme, and demand immediate payment of all outstanding sums. 6.3 Suspension or removal does not remove or reduce the Parent’s obligation to pay the full Fee. 7. PLAYER STATUS & SELECTION 7.1 Registration does not guarantee match minutes, starting positions, or selection. 7.2 All football-related decisions are made at the sole discretion of the Company’s coaching staff. The Company does not guarantee progression opportunities, trials, representation, scholarships, or professional contracts. 7.3 The Programme operates within a competitive environment and selection decisions are made in line with development and performance objectives. 8. CLUB STANDARDS & EXPECTATIONS 8.1 The Company operates to defined standards of behaviour, professionalism, and commitment. 8.2 Players are expected to attend sessions and fixtures as scheduled unless reasonably prevented, arrive on time and prepared, and conduct themselves in line with Programme standards. 8.3 Parents are expected to support the Player’s participation, respect staff, players, and officials, and comply with all Company policies. 8.4 Failure to meet these expectations may result in disciplinary action. 9. DISCIPLINE & CONDUCT 9.1 The Company reserves the right to suspend or remove any Player or Parent where behaviour is deemed unacceptable. 9.2 Unacceptable behaviour includes but is not limited to disrespect towards staff, players, officials, or other parents, disruption to the Programme, or breach of any Company policy. 9.3 Removal from the Programme for disciplinary reasons does not entitle the Parent to any refund or release from payment obligations. 10. ACCESS TO PROGRAMME 10.1 Participation is strictly conditional upon compliance with this Agreement and the Payment Terms & Conditions. 10.2 The Company reserves the right to deny or withdraw access to any session, fixture, or activity where these conditions are not met. 11. FIXTURES, TRAVEL & LOGISTICS 11.1 The Programme includes fixtures which may require travel. 11.2 The Parent is responsible for ensuring Player availability for fixtures where selected and for arranging transport unless otherwise stated. 11.3 Fixtures, venues, and timings may change due to league scheduling, weather, or other external factors. 12. CANCELLATION OR CHANGES BY THE COMPANY 12.1 The Company reserves the right to amend Programme structure, schedules, venues, and staffing. 12.2 Such changes do not constitute grounds for refund or reduction of the Fee. 12.3 Where appropriate, the Company may offer a credit or adjustment at its sole discretion. 13. HEALTH, SAFETY & RESPONSIBILITY 13.1 The Parent confirms that all information provided is accurate and complete at the point of Registration. 13.2 The Parent confirms that the Player is fit to participate in physical activity. 13.3 The Parent must notify the Company immediately of any medical condition, injury, or change in health status. 13.4 Failure to disclose relevant information may result in removal from the Programme. 14. FORCE MAJEURE 14.1 The Company shall not be liable for failure to deliver any part of the Programme where such failure is due to circumstances beyond its reasonable control. 14.2 This includes but is not limited to weather conditions, government restrictions, facility closures, or decisions by leagues or governing bodies. 14.3 No refunds, credits, or reductions shall be due in such circumstances. 15. LIMITATION OF LIABILITY 15.1 Nothing in this Agreement excludes or limits liability for death or personal injury caused by negligence. 15.2 Subject to this, the Company’s total liability shall not exceed the total Fee paid. 15.3 The Company shall not be liable for any indirect, incidental, or consequential loss. 16. GENERAL 16.1 This Agreement, together with the Payment Terms & Conditions, constitutes the entire agreement between the parties. 16.2 Failure by the Company to enforce any provision does not constitute a waiver of its rights. 16.3 The Company reserves the right to amend these Terms where reasonably necessary. 16.4 This Agreement is governed by the laws of England and Wales. AGREEMENT CONFIRMATION By completing Registration and/or making payment, you confirm that you have read, understood, and agree to this Player Programme Agreement and the Advantage Football Academy Payment Terms & Conditions in full, and accept full responsibility for payment of the Programme Fee.

Payment Terms & Conditions Explains programme fees, payment schedules, Direct Debit arrangements, late payment procedures and your financial obligations throughout the season. (APPLICABLE TO ALL PLAYERS AND PARENTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) 1. DEFINITIONS 1.1 “Company” means Advantage Sports Group Limited. 1.2 “Parent” means the parent or legal guardian responsible for the Player and all associated payment obligations. 1.3 “Player” means the individual registered onto an Advantage Football Academy programme. 1.4 “Programme” means the structured football club programme delivered by the Company. 1.5 “Fee” means the total Programme cost for the Season as confirmed in writing at the point of Registration. 1.6 “Instalment Plan” means any payment schedule approved in writing by the Company. 1.7 “Due Date” means the agreed date on which any payment is to be collected or received. 1.8 “Overdue” means any payment not received within 3 calendar days of the Due Date. 1.9 “Default” means any payment that remains unpaid 14 calendar days after the Due Date. 1.10 “Terms” means these Payment Terms & Conditions. 2. PAYMENT OBLIGATION 2.1 By completing Registration, the Parent enters into a legally binding obligation to pay the full Fee. 2.2 The Fee represents a commitment to the full Programme and is not a pay-as-you-go arrangement. 2.3 The full Fee remains payable in all circumstances, including non-attendance, injury, illness, selection decisions, suspension, removal, withdrawal, or change in personal circumstances. 2.4 No reduction, suspension, or cancellation of the Fee shall apply unless agreed in writing by an authorised representative of the Company. 3. PAYMENT STRUCTURE 3.1 The Fee and payment schedule will be confirmed in writing at the point of Registration. 3.2 Payment must be made either in full prior to Programme commencement or via an approved Instalment Plan. 3.3 Where an Instalment Plan is agreed, it is a payment method only and the full Fee remains contractually due from the point of Registration. 3.4 Payments will be collected via Direct Debit or another method approved by the Company. 3.5 The Parent is responsible for maintaining valid payment details and ensuring sufficient funds are available on each Due Date. 4. LATE PAYMENTS 4.1 Any payment not received within 3 calendar days of the Due Date will be classified as Overdue. 4.2 The Company reserves the right to apply a late payment charge of £15 per missed or failed instalment once the payment is classified as Overdue. 4.3 Where a payment remains Overdue, the Company will initiate the following recovery process: • First reminder issued between Day 3–5 after the Due Date • Second reminder issued between Day 7–10 after the Due Date • Final notice issued between Day 10–14 after the Due Date 4.4 Where payment remains unpaid following the Final Notice, the Company reserves the right to apply an administration fee of £25 per unresolved payment instance. 4.5 A payment instance is defined as each individual missed instalment. Administration fees will be applied once per instance following the Final Notice. 4.6 Where multiple instalments are overdue, charges will be applied separately to each individual instalment. 4.7 Interest will be charged on all overdue amounts at a rate of 4% per annum above the Bank of England base rate, calculated daily from the Due Date until payment is received in full. 5. FAILED PAYMENTS 5.1 A payment is deemed to have failed where a Direct Debit is declined, a card payment is unsuccessful, or funds are not received on the Due Date. 5.2 The Company will attempt to re-collect any failed payment within 3 working days of the failure. 5.3 The Parent remains fully responsible for ensuring payment is successfully completed. 5.4 Where a failed payment is not resolved within 7 calendar days of the Due Date, the Company reserves the right to suspend the Player from all Programme activities. 6. DEFAULT & RECOVERY 6.1 A payment will be classified as in Default where it remains unpaid 14 calendar days after the Due Date. 6.2 Upon Default, the Company reserves the right to: • Demand immediate payment of all outstanding instalments • Accelerate the remaining balance of the full Fee, making it immediately due in full 6.3 Where payment remains unpaid 21 calendar days after the Due Date, the Company may initiate formal recovery action. 6.4 This may include referral to a third-party debt recovery agency, issuance of a formal Letter Before Action, or legal proceedings through the appropriate courts. 6.5 The Parent shall be liable for all reasonable costs incurred by the Company in recovering outstanding sums, including administrative costs, legal fees, and recovery charges where permitted by law. 7. CONDITION OF PARTICIPATION 7.1 Participation in the Programme is strictly conditional upon payments being up to date. 7.2 The Company reserves the right to refuse or withdraw access to training sessions, fixtures, and all associated activities where payment obligations are not being met. 7.3 Suspension or removal from the Programme does not remove or reduce the Parent’s obligation to pay the full Fee. 8. RELATIONSHIP TO PLAYER PROGRAMME AGREEMENT 8.1 These Terms form part of and must be read in conjunction with the Player Programme Agreement. 8.2 In the event of any conflict relating to payment matters, these Terms shall take precedence. 8.3 Failure to comply with these Terms shall constitute a breach of the Player Programme Agreement. 9. GENERAL 9.1 The Company reserves the right to amend these Terms where reasonably necessary, with updated Terms communicated in writing. 9.2 Failure by the Company to enforce any provision does not constitute a waiver of its rights. 9.3 These Terms are governed by the laws of England and Wales. CONFIRMATION By completing Registration and/or making payment, you confirm that you have read, understood, and agree to these Payment Terms & Conditions in full and accept full responsibility for payment of the Programme Fee.

Code of Conduct Outlines the standards of behaviour expected from all players and parents to help maintain a respectful, professional and high-performance environment. (APPLICABLE TO ALL PLAYERS AND PARENTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Code of Conduct sets out the standards of behaviour required from all Players and Parents participating in any Advantage Football Academy Programme. The Programme operates within a structured, performance-focused environment aligned to professional football standards. All Participants are expected to contribute to a disciplined, respectful, and development-focused environment at all times. GENERAL STANDARDS All behaviour must reflect professionalism, respect, and accountability. All Participants are required to act in a manner that supports Player development, Team performance, and a positive and controlled environment. Any behaviour that undermines these standards will be addressed in accordance with this Code. PLAYER RESPONSIBILITIES Players are required to attend all scheduled training sessions and fixtures unless reasonably prevented, arrive on time prepared and in the correct kit, apply consistent effort and engagement in all activities, follow all instructions issued by coaching staff, and conduct themselves with respect towards teammates, staff, officials, and opponents. Players must not display a negative attitude, lack of effort, or disengagement, argue with or challenge coaching staff or match officials, disrupt training sessions, fixtures, or team environments, use abusive, inappropriate, or discriminatory language, or engage in behaviour that brings the Programme into disrepute. Players are expected to take full responsibility for their behaviour and development at all times. PARENT RESPONSIBILITIES Parents are required to support the Player’s development in a positive and constructive manner, respect all decisions made by coaching staff including selection and playing time, communicate in a professional and appropriate manner, and maintain a respectful presence at all training sessions and fixtures. Parents must not interfere with coaching decisions or attempt to influence selection, approach or challenge coaches during or immediately after training sessions or fixtures, provide coaching instructions from the sideline during training or matches, engage in negative, abusive, or confrontational behaviour towards staff, players, officials, or other parents, or use any form of communication including social media to undermine the Programme or its Participants. Parents are expected to act as supportive members of the Programme and set a positive example at all times. MATCHDAY BEHAVIOUR All Players and Parents are required to conduct themselves in a controlled and professional manner on matchdays. Respect must be shown at all times towards match officials, opposition players and staff, teammates, and coaching staff. Any form of dissent, abuse, or inappropriate conduct will be treated as a breach of this Code. COMMUNICATION STANDARDS All communication must be respectful, appropriate, and professional at all times. Concerns must be raised at appropriate times, through appropriate channels, and in a controlled and constructive manner. The Company reserves the right to manage, restrict, or decline communication where standards are not met. BREACH OF CONDUCT A breach of this Code includes any behaviour that falls below the standards outlined in this document. Where a breach occurs, the Company reserves the right to take appropriate action, including verbal warning, written warning, temporary suspension from training and/or fixtures, or removal from the Programme. The level of action taken will be determined at the sole discretion of the Company based on the nature and severity of the behaviour. REMOVAL FROM PROGRAMME The Company reserves the right to remove any Player or Parent from the Programme where behaviour is deemed unacceptable or repeatedly falls below required standards. Removal from the Programme does not entitle the Parent to any refund or release from payment obligations under the Player Programme Agreement or Payment Terms & Conditions. AGREEMENT TO STANDARDS By completing Registration and/or allowing participation in the Programme, the Parent and Player confirm that they have read and understood this Code of Conduct, agree to adhere to the standards outlined, and accept that failure to meet these standards may result in disciplinary action including removal from the Programme.

Communication Policy Explains how and when communication should take place with coaches and Academy staff, including player reviews and the appropriate channels for raising questions. (APPLICABLE TO ALL PLAYERS AND PARENTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Communication Policy sets out how communication is managed within the Programme to ensure clarity, consistency, and a professional working environment. The Company operates a structured communication model to protect staff, Players, and Parents and to ensure all matters are handled appropriately. GENERAL PRINCIPLES All communication must be respectful, appropriate, and conducted in a professional manner. Communication must support a positive environment and must not undermine staff, Players, or the Programme. The Company reserves the right to manage, restrict, or refuse communication where standards are not met. COMMUNICATION CHANNELS All official communication from the Company will be issued via designated channels which may include email, messaging platforms, or club systems. Parents are responsible for ensuring they are receiving and reviewing all communications. The Company is not responsible for missed information where communication has been issued correctly through official channels. APPROPRIATE COMMUNICATION Parents must communicate in a calm, respectful, and constructive manner at all times. Communication must relate to appropriate matters and must not be excessive, repetitive, or unreasonable in frequency or tone. The Company reserves the right to determine what constitutes excessive or inappropriate communication. CONTROLLED COMMUNICATION AREAS The following areas may be discussed where appropriate, but only within the correct structure and environment: team selection, playing time, tactical understanding, and squad roles. These discussions will take place within scheduled reviews or development meetings, at appropriate times as determined by the Company, and in a controlled and constructive manner. These matters must not be raised during or immediately after training sessions or fixtures, in emotional or reactive situations, or via informal or repeated messaging. All football decisions remain at the sole discretion of the coaching staff. TIMING OF COMMUNICATION Parents must not approach or attempt to engage coaching staff during or immediately after training sessions or fixtures. A minimum period of 24 hours must be observed before raising any concern relating to a training session or match. The Company reserves the right to decline engagement where this standard is not followed. PLAYER COMMUNICATION EXPECTATION Where appropriate, Players are expected to take responsibility for communication relating to their own development. Parents must not act on behalf of Players in situations where it is reasonable for the Player to communicate directly. SOCIAL MEDIA AND EXTERNAL COMMUNICATION Parents and Players must not use social media or any external platform to criticise, challenge, or undermine the Programme, staff, Players, or other Parents. Any such behaviour will be treated as a breach of the Code of Conduct. BREACH OF COMMUNICATION POLICY Failure to adhere to this Policy may result in action being taken, including restriction of communication, formal warning, or further disciplinary action in line with the Code of Conduct. AGREEMENT By participating in the Programme, Parents and Players confirm that they have read and understood this Communication Policy, agree to adhere to the standards and structure outlined, and accept that failure to do so may result in restricted communication and further action.

Complaints Procedure Sets out the formal process for raising concerns or complaints and explains how they will be investigated and resolved by the Academy. (APPLICABLE TO ALL PLAYERS AND PARENTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Complaints Procedure sets out the formal process for raising, managing, and resolving concerns within the Programme. The objective is to ensure all matters are handled in a structured, consistent, and professional manner, protecting the environment for Players, Parents, and staff. GENERAL PRINCIPLES All complaints must be raised in a controlled, respectful, and structured manner. Informal, emotional, or confrontational approaches will not be accepted or responded to. The Company reserves the right to decline engagement where these standards are not met. This procedure must be followed in full for any complaint to be considered. SCOPE OF COMPLAINTS This procedure applies to concerns relating to the operation of the Programme, including organisational matters, communication, and conduct. Matters relating to team selection, playing time, tactical decisions, and squad roles are managed through the Communication Policy and Player Review Structure and are not grounds for formal complaint unless a breach of policy or conduct is alleged. STAGE 1 – INITIAL CONCERN Any concern must first be raised in writing through the appropriate communication channel. The concern must clearly outline the issue, relevant context, and the desired outcome. The Company will review the matter and respond within 5 working days. STAGE 2 – FORMAL COMPLAINT If the matter is not resolved at Stage 1, a formal complaint may be submitted. This must be made in writing and clearly identified as a Formal Complaint. The Company will acknowledge receipt within 3 working days and provide a written response following investigation, typically within 10 working days. STAGE 3 – ESCALATION Where a complaint remains unresolved, the Company may escalate the matter internally for further review. The outcome of this stage will be issued in writing and shall be considered final. The Company is not obligated to enter into further discussion once a final decision has been communicated. TIMEFRAME REQUIREMENTS Complaints must be submitted within 7 calendar days of the issue occurring. Complaints raised outside of this timeframe may not be considered unless there are exceptional circumstances, which will be determined at the sole discretion of the Company. CONDUCT DURING COMPLAINTS PROCESS All communication during the complaints process must remain professional and controlled. The following will not be accepted and may result in termination of the process: aggressive or abusive behaviour, repeated or excessive contact regarding the same issue, or use of social media or public platforms to raise or escalate complaints. OUTCOMES Following review, the Company may provide clarification or explanation, take internal action where appropriate, or determine that no further action is required. All outcomes are determined at the sole discretion of the Company based on the information available. RELATIONSHIP TO OTHER POLICIES This procedure operates alongside the Code of Conduct and Communication Policy. Failure to follow this procedure or breaches of conduct during the process may result in action under those policies. FINAL POSITION The Company’s decision following completion of the complaints process is final. There is no obligation to reopen or reconsider a complaint once a final response has been issued. AGREEMENT By participating in the Programme, Parents and Players confirm that they have read and understood this Complaints Procedure, agree to follow the process outlined, and accept that all complaints must be handled in accordance with this structure.

Safeguarding Policy Explains how Advantage Football Academy protects the welfare, safety and wellbeing of every player and how safeguarding concerns should be reported. (APPLICABLE TO ALL PLAYERS, PARENTS, STAFF, AND PARTICIPANTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Safeguarding Policy sets out the Company’s commitment to ensuring the safety, welfare, and wellbeing of all Players participating in the Programme. The Company operates a zero-tolerance approach to any form of abuse, harm, or inappropriate behaviour and is committed to providing a safe, structured, and supportive environment at all times. SCOPE This Policy applies to all Players, Parents, staff, coaches, volunteers, and any individual involved in or attending Programme activities. All Participants are required to comply with this Policy at all times. SAFEGUARDING PRINCIPLES The Company is committed to: •Protecting all Players from harm, abuse, or neglect •Providing a safe and appropriate environment for participation •Ensuring all concerns are taken seriously and acted upon •Promoting a culture of openness, accountability, and responsibility All safeguarding matters will be handled in line with recognised best practice and applicable governing body guidance. RESPONSIBILITY FOR SAFEGUARDING The Company maintains responsibility for safeguarding across all Programme activities. Concerns may include but are not limited to: •Behaviour that places a Player at risk •Inappropriate conduct by any adult or Participant •Signs of abuse, neglect, or harm Concerns must be reported via the designated safeguarding contact or official communication channel. Where a concern involves immediate risk, appropriate external authorities should be contacted without delay. CONFIDENTIALITY All safeguarding concerns will be treated seriously and handled with appropriate confidentiality. Information will only be shared on a need-to-know basis in order to protect the Player and comply with safeguarding obligations. Absolute confidentiality cannot be guaranteed where disclosure is required to protect a Player or comply with legal requirements. CODE OF BEHAVIOUR All staff, Parents, and Participants must: •Act in the best interests of all Players at all times •Maintain appropriate professional boundaries •Avoid any behaviour that could be interpreted as inappropriate or unsafe •Challenge and report behaviour that does not meet safeguarding standards Any breach of these expectations will be treated as a serious matter. USE OF COMMUNICATION AND DIGITAL PLATFORMS All communication with Players must be appropriate, transparent, and where possible involve Parents or be conducted through approved channels. Direct, private, or inappropriate communication is not permitted. Participants must not use social media or digital platforms in a way that places a Player at risk or undermines safeguarding standards. PHOTOGRAPHY AND MEDIA The use of photography and video must comply with the Company’s Photo and Video Consent Policy. Images must only be captured and used in an appropriate and controlled manner. The Company reserves the right to take immediate action, including suspension or removal from the Programme, and to refer matters to external authorities where required. EXTERNAL REFERRALS Where necessary, the Company will refer safeguarding concerns to relevant external agencies, including local safeguarding authorities, governing bodies, or law enforcement. The Company will cooperate fully with any external investigation. AGREEMENT By participating in the Programme, all Parents and Participants confirm that they have read and understood this Safeguarding Policy and agree to adhere to its principles and requirements at all times.

Anti-Bullying Policy Details our zero-tolerance approach to bullying and the responsibilities of players, parents and staff in creating a safe and inclusive environment. (APPLICABLE TO ALL PLAYERS, PARENTS, STAFF, AND PARTICIPANTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Policy sets out the Company’s zero-tolerance approach to bullying in any form. The Company is committed to providing a safe, inclusive, and respectful environment where all Players can develop without fear of intimidation, harassment, or harm. DEFINITION OF BULLYING Bullying is defined as repeated or intentional behaviour that negatively impacts another individual. This includes but is not limited to physical, verbal, emotional, or online abuse. Bullying may include: •Verbal abuse, name-calling, or insults •Physical intimidation or aggression •Exclusion or deliberate isolation •Spreading rumours or damaging reputation •Online or social media abuse EXPECTATIONS All Participants are required to: •Treat others with respect at all times •Contribute to a positive and inclusive environment •Challenge and report behaviour that does not meet these standards •Bullying behaviour will not be tolerated under any circumstances. REPORTING BULLYING Any concern relating to bullying must be reported immediately. Reports may be made by Players, Parents, or staff through the appropriate communication or safeguarding channels. All concerns will be taken seriously and reviewed appropriately. RESPONSE TO BULLYING Where bullying is identified or reasonably suspected, the Company will take appropriate action, which may include: •Investigation of the matter •Communication with relevant parties •Disciplinary action in line with the Code of Conduct •Safeguarding referral where appropriate PARENT RESPONSIBILITY Parents are expected to support this Policy and must not engage in behaviour that contributes to or escalates conflict between Players or families. Online Safety Policy Explains the standards expected when using social media, messaging platforms and other digital communication connected with the Academy. (APPLICABLE TO ALL PLAYERS, PARENTS, STAFF, AND PARTICIPANTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Policy sets out how the Company manages online safety and digital conduct to protect all Players from harm, abuse, or inappropriate exposure when using digital platforms. GENERAL PRINCIPLES All online activity must reflect the same standards of behaviour expected within the Programme environment. Digital conduct must not place any Player at risk or undermine the safety and wellbeing of others. ACCEPTABLE USE Players and Parents are expected to: •Use digital platforms responsibly •Communicate respectfully at all times •Protect personal information and privacy UNACCEPTABLE USE The following behaviour is strictly prohibited: •Online bullying, harassment, or abuse •Sharing inappropriate or harmful content •Contacting Players or staff in an inappropriate or private manner •Posting content that undermines the Programme, its staff, or Participants COMMUNICATION WITH PLAYERS All communication with Players must be appropriate, transparent, and where possible involve Parents or be conducted through approved channels. Direct, private, or unmonitored communication is not permitted. SOCIAL MEDIA Participants must not use social media to: •Criticise or undermine the Programme •Target Players, staff, or other Parents •Share confidential or sensitive information Any such behaviour will be treated as a breach of both this Policy and the Code of Conduct. REPORTING CONCERNS Any online safety concern must be reported immediately through the appropriate safeguarding or communication channels. BREACH OF POLICY Failure to adhere to this Policy may result in disciplinary action, including restriction of access, suspension, or removal from the Programme. AGREEMENT By participating in the Programme, all Participants confirm that they have read and understood this Online Safety Policy and agree to comply with its requirements.

Whistleblowing Policy Provides a confidential process for reporting serious concerns relating to safeguarding, misconduct or inappropriate behaviour within the Academy. (APPLICABLE TO ALL STAFF, PARENTS, AND PARTICIPANTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Policy provides a clear process for reporting serious concerns about conduct, safeguarding, or the operation of the Programme. The Company is committed to transparency, accountability, and the protection of all Participants. SCOPE OF CONCERNS Whistleblowing applies to serious concerns including but not limited to: •Safeguarding failures or risks •Inappropriate behaviour by staff or Participants •Breaches of policy or professional standards •Any action that places a Player at risk REPORTING PROCESS Concerns must be reported through the designated safeguarding or official communication channel. Reports should be made as soon as possible and include all relevant information. Concerns may be raised confidentially. The Company will take all reasonable steps to protect the identity of the individual raising the concern where appropriate. PROTECTION FOR REPORTING No individual will be subject to negative treatment or consequence for raising a genuine concern in good faith. Any attempt to discourage or penalise reporting will be treated as a serious breach of policy. INVESTIGATION All concerns will be reviewed and, where appropriate, investigated. The Company reserves the right to determine the appropriate course of action based on the nature and severity of the concern. EXTERNAL REPORTING Where necessary, concerns may be referred to external authorities, including safeguarding bodies, governing bodies, or law enforcement. FALSE OR MALICIOUS REPORTING Any report made with malicious intent or knowingly false information may result in disciplinary action. BREACH OF POLICY Failure to report serious concerns or attempts to conceal information may result in disciplinary action. AGREEMENT By participating in the Programme, all Participants confirm that they have read and understood this Whistleblowing Policy and agree to act in accordance with it.

Medical Declaration & Injury / Return to Play Policy Explains the medical information parents must provide, how injuries are managed and the requirements for a player to safely return to football. (APPLICABLE TO ALL PLAYERS AND PARENTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Policy sets out the requirement for accurate medical information to ensure the safe participation of all Players within the Programme. The Company operates on the basis that all relevant medical information must be disclosed in order to manage risk appropriately. MEDICAL DECLARATION REQUIREMENT Parents are required to provide full and accurate medical information for the Player at the point of Registration. This includes any condition, injury, allergy, or health concern that may impact participation. Parents must confirm that the information provided is complete and accurate to the best of their knowledge. ONGOING RESPONSIBILITY Parents must notify the Company immediately of any change to the Player’s medical condition, including new injuries, diagnoses, or health concerns. Failure to update medical information will be treated as a breach of this Policy. FITNESS TO PARTICIPATE By allowing the Player to attend training sessions or fixtures, the Parent confirms that the Player is fit to participate in physical activity. Where there is any doubt regarding fitness, the Player must not participate until appropriate medical advice has been obtained. MEDICAL CONDITIONS AND MANAGEMENT Where a Player has a known medical condition, the Parent must provide clear instructions where required, including any medication or emergency response information. The Company will take reasonable steps to support the Player but cannot accept responsibility for undisclosed or incorrectly disclosed conditions. BREACH OF POLICY Failure to provide accurate or updated medical information may result in the Player being withdrawn from participation until the matter is resolved. The Company reserves the right to refuse participation where sufficient medical information has not been provided. AGREEMENT By completing Registration, Parents confirm that all medical information provided is accurate and that they accept responsibility for keeping this information up to date.

Emergency Procedures Policy Describes the procedures followed during emergencies, including first aid, emergency contacts and parent responsibilities. (APPLICABLE TO ALL PLAYERS AND PARENTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Policy sets out how emergency situations are managed within the Programme to ensure the safety and welfare of all Players and Participants. GENERAL APPROACH The Company will take reasonable and immediate action in response to any emergency situation. The safety of the Player is the priority at all times. EMERGENCY RESPONSE In the event of an emergency, the Company may: •Administer basic first aid where appropriate •Contact emergency services •Contact the Parent or emergency contact provided All actions will be taken based on the circumstances and information available at the time. PARENT RESPONSIBILITY Parents must ensure that: •Emergency contact details are accurate and up to date •They or a nominated contact are available during Programme activities Failure to provide accurate contact information may delay response in an emergency situation. MEDICAL INFORMATION Emergency response will be based on the medical information provided at Registration. It is the responsibility of the Parent to ensure this information is accurate and current. TRANSPORT AND COLLECTION Where emergency services are not required but a Player cannot continue participation, the Parent will be required to arrange collection as soon as reasonably possible. LIMITATION OF RESPONSIBILITY The Company will take reasonable steps to manage emergency situations but cannot accept responsibility for outcomes where information provided is incomplete, inaccurate, or not updated. RECORDING OF INCIDENTS The Company may record details of any emergency or incident for safeguarding and operational purposes. BREACH OF POLICY Failure to provide accurate emergency or medical information may result in the Player being withdrawn from participation until resolved. AGREEMENT By participating in the Programme, Parents confirm that they understand and accept the emergency procedures in place and their responsibility within them.

Photo & Video Consent Policy Explains how photographs and videos may be captured and used, your consent options and how media is managed to protect players. (APPLICABLE TO ALL PLAYERS, PARENTS, STAFF, AND PARTICIPANTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Policy sets out how the Company captures, uses, stores, and manages photographic and video content involving Players. The Company is committed to ensuring that all media is used appropriately, safely, and in line with safeguarding and data protection requirements. GENERAL PRINCIPLES All photography and video must be captured and used in a manner that is appropriate, respectful, and in the best interests of the Player. The Company will not use any image or video that could reasonably be considered inappropriate, harmful, or a risk to a Player’s welfare. CONSENT REQUIREMENT Parental consent is required before any Player’s image or video is captured and used by the Company. Consent will be obtained as part of the Registration process and will specify how content may be used. Where consent is not provided, the Company will take reasonable steps to ensure that the Player is not included in any published content. USE OF IMAGES AND VIDEO Where consent has been given, the Company may use images and video for the following purposes: •Promotion of the Programme across digital and print platforms •Social media content •Website and marketing materials •Internal performance and development review The Company will not use media in a way that identifies sensitive personal information or places a Player at risk. CONTROLLED CAPTURE OF MEDIA Photography and video at Programme activities may only be taken by: •Authorised Company staff •Approved third parties acting on behalf of the Company •Parents for personal use only The Company reserves the right to restrict or prohibit photography and video where necessary to protect Players. PARENT AND PUBLIC USE Parents may capture images or video for personal use only. Such content must not be: •Shared publicly in a way that identifies or targets other Players without consent •Used to criticise, undermine, or misrepresent the Programme •Distributed in any inappropriate or harmful manner The Company reserves the right to require removal of content where these standards are not met. STORAGE AND SECURITY All media captured by the Company will be stored securely and accessed only by authorised individuals. The Company will take reasonable steps to ensure that all content is protected from misuse, unauthorised access, or distribution. WITHDRAWAL OF CONSENT Parents may withdraw consent at any time by providing written notice to the Company. Upon receipt of such notice, the Company will cease future use of the Player’s image and take reasonable steps to remove existing content where practical. SAFEGUARDING CONSIDERATIONS The Company will ensure that all use of images and video aligns with safeguarding principles. This includes avoiding: •Identification of Player location in real time where this creates risk •Use of inappropriate images •Any form of content that could be misused BREACH OF POLICY Any misuse of photography or video by Participants may result in action under the Code of Conduct and may lead to restriction, suspension, or removal from the Programme. AGREEMENT By completing Registration, Parents confirm that they have read and understood this Policy, provide or withhold consent as appropriate, and agree to comply with all requirements relating to the use of photography and video within the Programme.

Data Protection & GDPR Policy Explains how personal information is collected, stored, used and protected in accordance with UK GDPR and data protection legislation. (APPLICABLE TO ALL PLAYERS, PARENTS, STAFF, AND PARTICIPANTS WITHIN ADVANTAGE FOOTBALL ACADEMY PROGRAMMES) PURPOSE This Policy sets out how the Company collects, uses, stores, and protects personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The Company is committed to handling all personal data lawfully, fairly, and transparently. DATA CONTROLLER Advantage Sports Group Limited acts as the Data Controller for all personal data collected in relation to the Programme. The Company is responsible for determining how and why personal data is processed. DATA COLLECTED The Company may collect and process the following categories of personal data: •Player details, including name, date of birth, and contact information •Parent or guardian contact details •Emergency contact information •Medical and health information relevant to participation •Attendance, performance, and development records •Payment and transaction information •Photo and video content where consent has been provided All data collected will be relevant, necessary, and limited to what is required for the operation of the Programme. LAWFUL BASIS FOR PROCESSING Personal data is processed on one or more of the following lawful bases: •Performance of a contract (Programme participation) •Legal obligation •Legitimate interests of the Company in delivering the Programme •Consent, where required (including for media use and certain categories of data) Sensitive personal data, including medical information, will only be processed where necessary and with appropriate safeguards in place. USE OF DATA Personal data will be used for the following purposes: •Administering Programme registration and participation •Communication with Players and Parents •Managing health, safety, and safeguarding •Delivering training, fixtures, and development activities •Processing payments and financial records •Promoting the Programme where appropriate consent has been provided The Company will not use personal data for purposes outside of those reasonably expected without further consent where required. DATA SHARING The Company may share personal data where necessary with: •Coaches, staff, and authorised Programme personnel •Governing bodies, leagues, or competition organisers •Medical professionals where required for Player safety •Service providers supporting Programme delivery (e.g. payment processors or communication platforms) Data will only be shared where necessary and appropriate safeguards are in place. DATA STORAGE AND SECURITY All personal data will be stored securely using appropriate technical and organisational measures to prevent unauthorised access, loss, misuse, or disclosure. Access to data will be restricted to authorised individuals only. The Company will take reasonable steps to ensure that all data is kept accurate and up to date. Where required, breaches will be reported to the appropriate regulatory authority and affected individuals will be informed. AGREEMENT By completing Registration and participating in the Programme, Parents confirm that they have read and understood this Data Protection & GDPR Policy and agree to the collection and use of data as outlined.
